Child Safety & Minor Protection Policy

Version 1.5 · Effective 14 September 2026 · Last updated 19 October 2026

This Policy sets out PixoProof’s approach to protecting children and minors whose images may be uploaded, stored or shared through the platform, particularly in newborn, family, school and event photography.

It forms part of PixoProof’s legal and safety framework and should be read together with the Terms of Service, Acceptable Use Policy, Privacy Policy and Photographer Agreement.

01Purpose and scope

The purpose of this Policy is to protect the safety, privacy and dignity of children and minors; make clear that Photographers bear sole responsibility for obtaining all required consents; establish zero tolerance for child sexual exploitation or abuse material; support lawful and responsible handling of images of newborns, families and school-aged children; and set out reporting and enforcement procedures.

It applies to all users of the PixoProof platform and to any content that depicts or may depict children or minors, including newborn, family, school, sports and any other photography involving minors.

02Zero tolerance for child exploitation material

PixoProof has zero tolerance for child sexual exploitation or abuse material of any kind. Any content that constitutes or appears to constitute such material is strictly prohibited, is removed immediately, results in termination of the associated account, and is reported to the relevant law enforcement and child protection authorities, including the eSafety Commissioner in Australia and the National Center for Missing & Exploited Children (NCMEC) where United States law applies. PixoProof cooperates fully with investigations.

03Photographer responsibilities

Photographers who upload images of children or minors are solely responsible for:

  • obtaining all legally required parental or guardian consents before uploading any images of minors;
  • ensuring they have the legal authority to upload and share the images;
  • complying with all applicable privacy, child protection and data protection laws;
  • verifying that any school, sports club or institutional permissions required for school or group photography have been properly obtained;
  • maintaining records of consents and permissions;
  • setting appropriate gallery access controls, PINs, expiry dates and download restrictions;
  • ensuring that Clients and gallery recipients understand the limited rights granted to them.

PixoProof does not verify parental authority, custody arrangements, school permissions or consent documentation. Full legal responsibility remains with the Photographer.

04Images of newborns and infants

Newborn and infant photography often involves highly sensitive images. Photographers must obtain clear parental consent where required before uploading or sharing such images; use per-client invites, PINs and download restrictions for galleries containing newborn images; avoid any presentation or context that could be considered exploitative or inappropriate; and respect parental instructions about who may access or download the images.

05School and group photography

Where Photographers undertake school, sports or other group photography involving minors, they must ensure all required institutional and parental consents are in place; follow any applicable school or organisation policies on image use and distribution; restrict gallery access appropriately; and not use images of minors for promotional or marketing purposes without specific additional consent.

06Client and gallery recipient obligations

Clients and any person who accesses a gallery containing images of minors must use the images only as authorised by the Photographer; not share invite links or PINs with unauthorised persons; not download, copy or distribute images of minors beyond the rights granted; not use images of minors for AI training, scraping or any other unauthorised purpose; and respect the privacy and dignity of the children depicted.

07Platform measures

PixoProof supports child safety through per-client invite links and PIN protection, download controls, gallery expiry, watermarking and screenshot protection features, the ability to suspend or terminate accounts that violate this Policy, prompt investigation of reports of inappropriate or illegal content, and cooperation with law enforcement and child protection agencies where required. PixoProof does not guarantee that technical measures will prevent all unauthorised access or copying.

08Reporting concerns

Anyone who becomes aware of content or behaviour that may violate this Policy, or that raises child safety concerns, should report it immediately to [email protected] with “Child safety” in the subject line. Reports are reviewed as a priority. Where appropriate, content is removed and accounts suspended or terminated. Illegal material is reported to the relevant authorities.

09Enforcement

PixoProof may, at its sole discretion, remove any content that appears to violate this Policy, suspend or permanently terminate accounts, report matters to law enforcement or child protection authorities, and take any other action considered necessary to protect children and minors. Repeated or serious violations result in permanent exclusion from the platform.

10No liability for Photographer conduct

PixoProof is a technology platform only. Photographers remain fully responsible for obtaining all required consents, for the legality and appropriateness of content they upload, and for any claims arising from images of children or minors. PixoProof accepts no liability for a Photographer’s failure to obtain proper consents or for any misuse of images by Clients or third parties.

11Changes to this Policy

We may update this Policy to reflect changes in our practices, technology or legal requirements. The version number and “Last updated” date at the top show when the most recent changes were made.
